Hi All

As my bodge-tastic PA nears completion and the first hires appear on the horizon, I was wondering what everybody does in terms of contracts, terms and conditions etc?

I used to make my customers sign a contract in the 80s when I ran a PA hire company. Nobody ever breached it but if they did I doubt that I would have taken much in the way of action. It was more to clarify what they were getting so that they couldn't argue about it when it came to payment.

Do you guys use a contract or some sort of terms and conditions?

And what about payment? Do you have strict terms?

i always insist on payment on arrival/setup it stops any arguments later or having to chase drunk idiots about later on to find out who's paying you ,unless your working for an agent or a regular gig where as you might organise somthing else
a simple contract works for me,just stateing who, when, where, how much, payment details ect and i always have a cancellation fee stipulation on it
GOD TOLD ME TO DO IT !!!!!

Thank you, have you ever successfully invoked the cancellation fee?

For dry hire, we take 50% upfront, balance with id and deposit on collection. Cancellation is retention of 50%, unless more than 7 days notice. We allow transfer to a new date once, after which we would keep the 50%.

On productions, similar idea. 50% to book. Balance by cleared funds prior to arrival. We are lucky that we have  not had any cancellations, apart from the odd school sports day rained off. However they also book a reserve date, for no financial penalty, as long as the weather judgement is made by a set time.

It is probably down to our client base, that we are so lucky - we don't seem to get many wasters. Any contract is only a civil court matter either way, so typically aren't worth much!

Thank you very much Matt - how do you compute the deposit please? (I assume you do something similar to car hire - check the gear going out and check it coming back to determine whether to keep the deposit?)

I assume you don't bother with a deposit for productions?
